North-West College is currently seeking a Registrar/Student Advisor.

LOCATION: Pasadena, CA
Hours: Full time (40 hours/week)

POSITION SUMMARY
The Registrar/Student Advisor is responsible for the maintenance of student records including attendance tracking, student files management and regulatory compliance.  This person is responsible for providing exceptional customer service and is accountable for attaining performance goals associated with new, continuing and resuming students while upholding academic integrity. In addition, this position is responsible for implementing all elements of a proactive student outreach strategy including; face to face meetings, phone conversations, e-mails, community events, etc. Responsible for monitoring and affecting positive student retention rates, providing students community resources to assist in their successful completion of their program. In addition, coordinate with other departments to ensure that policies and procedures are followed in order to provide the highest levels of academic integrity and quality customer service.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES
•Update changes in current student data, records grades, maintains attendance and satisfactory academic progress.
•Maintain accurate student records in electronic and hard copy formats.
•Notify appropriate personnel regarding any academic change of status (i.e., attendance, unsatisfactory academic progress issues, etc.).
• Input and maintain current student data in the CLASS system.
• Prepare and manage current student information for course scheduling purposes.
•Prepare and issue diplomas and transcripts for graduates.
•Maintain the privacy of student records.
•Act as the Veteran’s Administration Certifying Official.
•Ensure that the campus adheres to all state and federal guidelines regarding the maintenance, storage and retention of student records.
•Notify career services of graduates in good standing.
•Generate and distribute Monthly Progress reports.
•Verify enrollment or graduation/completion to external entities (e.g. prospective employers)
•Implements prescribed communication plan with assigned student caseload including meetings, phone calls, e-mails, and text messages.
•Provides proactive advisement and coaching for continuing students.
•Responds rapidly and accurately to student inquiries. Meets established service level agreements.
•Contacts inactive students and assists them in resuming their studies.
•Documents student interactions in appropriate database systems.
•Serves as liaison to other departments.
•Monitors student attendance and academic progress and intervenes appropriately (student, deans, faculty, etc.).
•Performs all other duties as assigned.

QUALIFICATIONS KNOWLEDGE AND  SKILLS •Knowledge of records management.
•Knowledge of issues related to the Family Educational Right to Privacy Act (FERPA).
•Exhibit exceptional organizational skills with attention to detail.
•Demonstrated Computer literacy skills including working knowledge of Microsoft Office applications: Word, Excel, and Outlook.
•Demonstrated skills in establishing and maintaining effective working relationships with students, staff, faculty, and the public.
•Ability to work effectively with a diverse student population.
•Possesses excellent written and verbal communication skills.
•Ability to multi-task, handles student issues diplomatically, and refer students as appropriate.
•Demonstrated strong customer service orientation and interpersonal skills.

EDUCATION AND EXPERIENCE
•High school diploma or equivalent, some college preferred.
•Previous records management experience.
•One to two years relevant clerical experience.
•One to three years of related work experience preferred. At least one to two years of successful interaction with students in a higher education setting preferred.
